A note before we start
Straight up: this isn’t a customer case study.
The detailing business in this story is mine. I run AquaGleam in South Yorkshire, and DetailBook is the system I built for myself before anyone else ever used it. I'd rather tell you that up front than dress my own numbers up as someone else's.
I Started With a Corsa and a Henry Hoover
I'm Jamie. I lost my job in early 2024, weeks before my daughter was due, and started mobile detailing with a Karcher K2, a hoover I'd borrowed off my girlfriend, and the back seats of a Vauxhall Corsa folded forward.
That turned into AquaGleam — refresh valets, deep interior cleans, paint correction and ceramic coatings across Rotherham, Sheffield and Doncaster. Hundreds of cars later, a 5-star Google rating, and a diary I was running entirely out of WhatsApp, Instagram DMs and my call log.
The detailing was going well. The business behind it was held together with tape.
The Job Was Fine. The Business Behind It Wasn't.
Three service areas means you're always in the van. I was quoting jobs between jobs — hands covered in polish, thumbing prices into a phone on a driveway in Doncaster, then forgetting who I'd promised what to.
Two hours of my day, most days, went on WhatsApp back-and-forth just to pin down a date and a price. Enquiries that landed mid-job or at 9pm sat unread, and plenty of those people had booked someone else by the time I got to them. Customer history lived in chat threads, so chasing repeat work was guesswork. And with nothing taken up front, there was nothing stopping someone binning me off on the morning.

So I Went Looking for Something to Buy
I didn't set out to build software. I genuinely just wanted to pay someone a monthly fee and get my evenings back.
Everything I tried was built for salons, gyms or barbers. And the gap isn't cosmetic — it's that none of them are modelled on how this trade actually works:
- Price doesn't change with vehicle size — so a Fiesta and a seven-seater get quoted the same, and you eat the difference on half your jobs
- No way to ask the questions that matter — is there an outside tap, is there somewhere to park a van, is the car actually at that address? You find out when you arrive
- Every job treated as one length — a maintenance wash and a two-day correction booked into the same size slot
- Deposits treated as an afterthought — if they existed at all, they were bolted on rather than built into the booking
- The ones that came closest took a commission — a cut of a booking I'd earned, off my own website
You can work around any one of those. You can't work around all five. So I built the thing I couldn't find.
What I Built, and Ran on My Own Business First
AquaGleam became DetailBook's first customer — and its test bed. Every feature went live on my own diary before anyone else ever saw it:
- Vehicle-size pricing — my full service menu, priced properly by car size instead of one flat number that's wrong for half the jobs
- Service areas with travel buffers — Rotherham, Sheffield and Doncaster, so the diary stops booking me two jobs I can't physically get between
- Deposits taken at the point of booking — 20-25% via Stripe, automatically, no more chasing bank transfers
- Automatic SMS reminders — 24 hours before every appointment, sent whether I remember or not
- A booking page on my own site — customers pick their service, see real availability, and book without messaging me at all
If it didn’t survive contact with my own week, it didn’t ship.
The Numbers From My Own Business
These are my figures from six months of running AquaGleam on DetailBook. One business, my own, so treat them as what happened to me rather than a promise — but they're the honest reason I kept building it.
Admin dropped from 2 hours a day to about 15 minutes
The evening WhatsApp shift is gone. I check the dashboard with a coffee in the morning and that's it — customers have already picked their service, their date and their time without needing me in the loop. That's the change I actually felt day to day.
Around 40% of my bookings now come in out of hours
Evenings, weekends, 6am before work. Under the old system those messages sat unread until I got out of the van, and plenty of them had booked someone else by then. Now they just book — while I'm asleep, in the middle of a job, or at home with my daughter.
Customers actually mention it
Several of my Google reviews bring up how easy it was to book — and a few people have told me they picked AquaGleam specifically because they could see prices and availability without having to message first. That one surprised me.
And yes, the no-shows mostly stopped
Deposits plus automatic reminders took mine from around 15% to under 2%. The handful that still happen are covered by the deposit I've already taken. It wasn't the reason I built any of this, but it turned out to be the thing other detailers ask me about most.
What I Took From It
Since then I've watched other detailers run the same playbook, and the same four things keep holding true:
- Generic tools cost you more than they save — if the software doesn't know what a vehicle size or a water tap is, you end up doing that thinking manually on every single booking. That's the tax nobody warns you about.
- People would rather book than message — they book restaurants, barbers and dentists online. They expect the same from us, and some of them will simply choose whoever offers it.
- The time back compounds — those two hours a day went into more jobs, better marketing, and actually being present at home. That was the whole point of going self-employed in the first place.
- Deposits change behaviour — even a small one. In my experience the customers who refuse to pay a deposit are almost exactly the ones who were going to let you down anyway.
I still detail. I still use DetailBook every week on my own bookings, which is why it keeps getting better — I feel the gaps before anyone has to email me about them.
